THE HEARTWOOD CREDO
We of the Heartwood Community dedicate ourselves to living mindfully in the spirit of love, honesty, unity, and service. We value and uphold the opportunity to do so together, knowing that the continuous strength and support that community provides for individual growth on all levels. We see ourselves as honored guardians of this sacred land and take pride in being conscious stewards of this inspiring and safe container of mother Heartwood, assuring the continued availability to all beings who respect her.
Our primary service is to provide a safe educational experience that promotes holistic health and transformation, life-skills, spiritual growth, and facilitates the gathering of people in celebration of the experience of life. Our Community is, and only can be, supported by the services we provide. We are committed to the health and well-being of ourselves, each other and Heartwood, to live, learn, work, play, and grow together harmoniously in a sustainable manner. We mutually support and respect each person’s dignity, creative expression, and awaken to the spirit within each of us, which acknowledges that we are all one.
Our Values suggest a perspective and approach of personal accountability, honest communication, awareness of our actions and the quality of their results. We commit to directing our energies to the positive, expressing appreciation for what others do, correcting what is clearly not working for the community or for us as individuals, assuming the responsibility for co-creating and sharing abundance, and choosing and re-choosing to be together. We hope that our commitment to being socially, spiritually, politically, and environmentally responsible creates a thriving community, and as we extend ourselves to the greater society in which we live, the world community, helps to inspire their own exploration of healing, sustainability, and right-livelihood.
BEING IN SERVICE
Service is a key that opens us beyond our limitations. Serving each other gives meaning to all details of our work and studies.
People come to study, live, and work at Heartwood for many personal reasons–We neither want nor expect everyone to be traveling the same path. Nonetheless, we hope that everyone participating in our community shares a commitment to being in service to each other.
Serving each other means to be hospitable, warmly welcoming, caring, showing compassion, and doing our best to make everyone’s Heartwood experience what they need and want it to be. Being in service to each other also means showing respect and care for each other. We care for each other in many ways, including honestly communicating, lending a helping hand, showing tolerance for differences, forgiving grievances, and saying thank you! If ever in doubt about doing something to meet each other’s needs, err on the side of generosity and kindness while always practicing good judgment and boundaries.
COMMUNICATING ABOUT COMMUNITY-RELATED CHALLENGES
Please communicate directly and respectfully with your roommates, neighbors, co-members, etc. concerning any boundaries, particularly sound levels, clutter, and fire hazards. In our Credo, we commit to “honest communication” and “directing our energies to the positive.” Despite these intentions, communicating and resolving conflicts is an ongoing challenge for humans.
At Heartwood, we have the opportunity to learn to create positive outcomes through specific guidelines in order for each of us to be accountable, and to find the gift and/or teaching that is in all interactions.
To ensure consistency in communication and conflict resolution, the community has agreed to adopt these guidelines:
1) The first step is to ask yourself how you have contributed to this issue. Sometimes deeper self reflection inspires clearer perspective about possible projections, triggers of emotions, etc.
2) If you have a problem with a person’s actions, words, or decisions, go directly to the person involved and discuss the problem with them, being mindful of not placing blame. Avoid talking about your frustrations with everybody but this person. Talk to them soon, so negative energy does not build up or the specifics of the problem fade. A key to this communication is to use “I statements” and address what outcome you wish to occur.
3) If you are unable to communicate directly with the person, feel that you aren’t being heard, or feel this step to be unsafe, please see any RCM that you feel comfortable with to help diffuse the issue and get some advice/ assistance. Staff may see the owners.
4) The guidance from step #3 may be to recommend a third person to mediate, and can assist or suggest community members who are particularly skilled at mediation. Both parties should agree on the selection of a third party mediator to provide this support. The job of a mediator is to facilitate the communication, not to make a decision or ruling on who was “right.” Trainings will occasionally be offered in mediation and facilitation to keep these positions current.
4) If an agreeable solution is not found, or if the nature of the problem warrants further attention, discuss the problem with the the management team. This discussion should be with all persons involved with the conflict.
5) We all agree to not take problems up the “chain of decision” too quickly and are each responsible for trying to resolve the problem at the appropriate level first.
RUMORS AND GOSSIP
We live in a small village in which news and information travels quickly through the “grapevine”. We will please honor each other’s privacy and be responsible about the information we share/ spread and in the way we react to/ handle information that we hear. If you are disturbed by something that you hear, take the time to check out its validity with the people directly involved.
Individual safety is paramount here at Heartwood Institute. We live in a rural environment and special care needs to be constantly considered. Please see the driving directions for car safety here on the mountain, as it requires a much different set of skills than city or highway driving. Whenever walking, please be aware of your surroundings, as erosion and wear and tear may create uneven terrain—proper footwear is a must, and a flashlight is recommended for dark nights. Always stay on paths and roads, and never stray onto private property. Please report any possible unsafe walkways, etc. to maintenance.
QUIET AND NOISE
Heartwood’s quiet serenity, an essential quality of the healing and transformational container, can be easily shattered by unnecessary and inappropriate noise. We generally study and work in a contemplative manner, and a soft-spoken attitude is our norm. Please respect the following guidelines:
1) The quiet hours of the evening are one of the sweetest times to be found on this land. By community agreement, general noise, music, drumming and other loud situations must not start before 8:00 a.m. weekdays and 10:00 a.m. on weekends, and must end by 10:00 p.m. and 8:00p.m.on weekdays (Sunday-Thursday). Feel free to continue quiet conversation after 10:00, and be sensitive to your neighbors. Friday through Sunday afternoons are designated as times for celebration and entertainment.
2) Staff living in Bodhi must be aware of the impact of noise on the guests staying near your homes. Please do not play loud music in your rooms. This is a condition of having housing in that area.
3) Please respect other community members if they ask you to turn down your music or to lower your voice.
First-hand and second-hand smoke is dangerous to everyone’s health. Cigarette smoking is allowed only in designated smoking areas– you may smoke cigarettes in the Smoking Temple by the recycling shed at the Lodge, in the parking lot, and the cement pads outside the dorms. Staff may smoke outside of their rooms ONLY IF not disturbing anyone. Smoking on the job site is not allowed, even if outdoors. Smoking on the paths while walking is also not allowed. Cleaning and repainting fees will be assessed when you move if you have broken the agreement to not smoke inside your living space. When done smoking, please dispense cigarettes into proper containers and never leave on the ground. If your cigarette smoke is disturbing someone, you are asked to put it out immediately.
CANDLES AND OPEN FLAMES
Any fire or flame (even candles, incense, and sage) is NOT allowed during the hot and dry season, “Fire Season,” (generally May through October)–this is considered an extremely dangerous time in general in our neighborhood. Even during the wet seasons please be extremely careful when using candles or incense in your homes (and only rooms and cabins NOT OUTDOORS or in TENTS), and ONLY use candles and incense if they are in proper holders— GLASS and POTTERY only please! (Those little metal votives are considered naked without these holders since they leave big burn marks!) Never leave candles burning unattended. If the power goes out at night, be sure not to go to sleep while candles are left burning. Please familiarize yourself with using fire extinguishers.
Again, no fires allowed during fire season. The Sweat Lodge fire area or the group fire pits must be used only with permission from Maintenance during the rainy season, and require a person at each location being responsible to see that the fires are well managed and extinguished at the end of their use. The person who starts the fire is responsible for it, including ensuring that it is completely extinguished. At least two water buckets and a shovel must be kept at the fire site.
No new campfire sites may be established without the approval of the Palo Verde Volunteer Fire Department (P.V.V.F.D.) and the Maintenance Team, who will determine whether there is adequate protection from out-of-control fire.
Please be informed on your nearest fire extinguisher and how to use it; trainings will be provided.

DRUG AND ALCOHOL USE
Many, if not most people who come to Heartwood are drawn to the transformational potential inherent with being such a sacred and rural community setting. Students and staff alike express the desire to gain new awareness of themselves and others on levels of body, mind, and spirit. There are a number of people who have come to the HWI campus and community making a conscious decision to “clean up” their lives. Some people struggle daily with addiction and recovery and are making every effort to find and remain within a safe and healthy boundary regarding substance abuse. These people often choose to be private about this, so you may never know who they are. As a community member, you need to always be conscious of how your actions are affecting those around you.
The Heartwood Community respects the sanctity and privacy of each person’s personal space while you live here. However, the Heartwood Institute business legally owns your home. The Federal war on drugs is becoming increasingly severe and inflexible with regard to forfeiture and seizure of property if it is determined that corporate or cooperative assets were used in felonious acts. If you become engaged in the growing, manufacturing, trafficking, or consumption of illegal/controlled substances, you put the business and property at real risk; you greatly endanger the entire community, our ongoing livelihood, and our ability to even continue being stewards of this land.
DRUG AND ALCOHOL POLICY
Drug/alcohol usage is not permitted during class or work time, school activities, or in any of the common areas of the campus. Students and staff may not possess, use, or be under the influence of any controlled substances while participating in Heartwood activities. Students and staff may not have unlawful possession of, unlawfully offer, arrange or negotiate to sell or share any drug or drug paraphernalia at Heartwood.
Heartwood Institute is required to uphold the law. Our residential staff community and students need and expect that Heartwood be a clean and sober environment. Our faculty and curriculum require students to be grounded and present in order to facilitate a physically and emotionally safe learning environment. Our staff needs to continually choose to uphold and support our student’s transformational and educational Heartwood experience along with their own. Heartwood’s goal of providing workshops and classes assumes a sober learning environment.
Heartwood is a school community which requires individuals to take a high level of responsibility for their selves. We ask that every individual at Heartwood support the Drug and Alcohol Policy by upholding the following agreements:
-To personally agree to come to work and/ or class sober.
-To personally agree to support Heartwood in meeting its legal and educational responsibilities by not imbibing in any illegal/ controlled substances/ taking recreational drugs, or using alcohol in public areas on campus.
Heartwood will take action to enforce these agreements/ boundaries:
-Heartwood reserves the right to immediately expel, dismiss, and/ or banish any student or staff
for an intoxicated or drugged state of behavior during classes or work.
-Withholding direct knowledge/ information regarding federal legal violations that could lead to the forfeiture of our business and residential community is grounds for removal.
-Growing, manufacturing, and/ or selling marijuana or illegal/ controlled substances on Heartwood property by any community member are grounds for immediate dismissal and banishment, and/ or legal action.
You are required and expected to comply with these standards. Remember, we are all expected to help keep the community in alignment and integrity in providing a safe space; we are each empowered to share the responsibility of allowing Heartwood to be the incredible environment that it is. If there are any individuals that are contributing to the significant, non-discreet/ blatant activities and are not responding to your requests to be more discreet, please feel free to share the names either in person or anonymously for us to take steps toward effective problem solving. Please report serious violations of this policy immediately. Verbal or written (signed or anonymous) information can be confidentially and safely shared with the Director, Department Supervisors, or Human Resources.
If you are unable to be discreet with any use (within the confines of your own room), unable to abstain before classes or work, maybe your use has become beyond your control. Please know that there is support, both on and off campus. Heartwood promotes a drug/alcohol abuse prevention program for students and employees including dissemination of information, support groups, referral services and evening activities. If you think you may have a problem with drugs and/or alcohol or are currently in recovery, there are support systems in the surrounding area you may attend while at Heartwood Institute:

POSSESSION OF FIREARMS
Possession of firearms at Heartwood is strictly prohibited and will lead to immediate dismissal. There are only a few exceptions of whom may possess firearms at Heartwood, only at Heartwood’s Director’s expressed written consent, and may be used strictly in case of emergency only.
ANIMALS AND PETS
Generally, pets are not allowed at Heartwood. We are a no dog campus. Cats and animals that can live in any container or cage that do not require electricity, e.g., hamsters, goldfish and parakeets may be considered on a case-by-case basis. The garden may be allowed to have a dog in order to help with animal control around the garden areas. Any animal must be spayed or neutered and be current on their shots.
FACILITIES, SPACES, AND EQUIPMENT
The most important thing about using any of the shared spaces is to leave them cleaner than you found them. Each of us must do our part to keep these shared spaces clean. Each person who prepares and cooks food in shared spaces is responsible for his or her own dishes and workspace. Anyone who hangs out to snack, talk, watch movies, or have impromptu gatherings must contribute to the overall maintenance of the space (i.e., sweep the floor, wash and put dishes away, clean empty food containers, recycle, take trash to the dumpsters, and straighten up). HWI allows only the use of bio-degradable and non-toxic cleaners and soaps. Remember, this practice is at the heart of the spirit and purpose of Heartwood as we all practice Loving Service and create an amazing container for each other!
HOUSING and CLASSROOMS
We are in very close quarters and agree to respect each other’s space. Please keep the walkways near your room free of clutter for aesthetics and safety reasons; this also pertains to our classroom and working areas. You are responsible for the general maintenance and care of your housing space and for all of Heartwood property for the duration of your stay. Supplies for cleaning are available in the storage closet of each dorm and must be replaced after use. Please replace light bulbs as needed and inform house healing of any dead batteries from the smoke alarms, and keep these in working order! Vacuums are available for check out–please see a staff member or a House Healer. Any changes to your room (shelving or furniture in OR out) must gain prior approval from Maintenance. To move out of your room there is a House Healing checklist to follow in order to receive your deposit and/ or remain in good standing.
Absolutely no camping-out is permitted in the classrooms unless there has been a designated black-out back-up room. You may only sleep in your assigned housing space; empty Madrone and Lower Dorm rooms may only be used if you have been approved to be there. Offenders will not be tolerated.
When a class has reserved the exclusive use of our facilities it is designated a reserved classroom. Participants of that class have the exclusive right to use the space, so there may be restrictions placed on staff or community guest use of certain facilities when a reserved classroom is in effect. When this happens, you will be informed and expected to comply with the restrictions. We may also close classrooms or accommodations to do deep cleanings and repairs to facilities which we cannot do when our guests are here.
The community kitchen located next to the lodge is available for all students. You may store groceries and prepare meals here only when following these agreements:
1) If you use it, clean it (from one spoon to the entire kitchen!)
2) You must keep your supplies in an approved and designated box on a shelf if you need to, and all items must be labeled, ESPECIALLY refrigerated items.
-If you store food in the community refrigerator, label your food, date it, and don’t take up more than your share of space, and make sure your food does not go bad.
3) If you cook and use dishes and cookware, clean them before you leave
4) If you use the stove or microwave, keep those appliances clean
5) If you are the last person to empty a food container, clean it out and stack it with the other containers that will need to go back to the kitchen and/ or lodge, thanks!
6) Do not remove any dishes, pots, pans, or utensils form this space.
7) Do not eat or use other members personal items.
8) If this kitchen is lacking some items, please make a list of needs and turn into the Program Director. We will do our best to purchase these. We may not be handle able to purchase all requests. Please do not take any items out of the main Kitchen.
HOT TUB, SAUNA, and POOL
Please follow these agreements:
1) The sauna, hot tub, and pool are currently available in summer months only. The infrared sauna is available year round to current residents only.
2) These areas are clothing optional (providing there are no children present), as is the lawn between the pool and hot tub area.
3) Hang your belongings on the hooks, leaving room on the benches for others to change and sit down, and always take your belongings when you leave.
4) Shower off with soap before initially getting in the tub, sauna, or pool, especially if you just came from a massage! If you go back and forth from the sauna to the hot tub, you must please shower again! Soaps, shampoos, and other items must be only biodegradable soaps.
5) You are required to always sit on a towel in the sauna, and never leave your towel behind!
6) The sauna and hot tub are for soaking, not for cleaning. Never use soap or shampoo in the hot tub. Do not use loofahs or other scrubbers, scrubs, and oils in the hot tub or sauna.
7) The hot tub is cleaned and refilled on Mondays and Fridays. It may take several hours for the tub to refill, but they are usually ready to use by the evening.
8) Please don’t engage in sexual activity in the sauna or hot tub.
9) Please do not bring food or glass into the pool or hot tub areas.
10) The pool is reserved for residents, registered guests, and members of the Heartwood Pool Club only. (Memberships are currently available to neighbors for the pool, and once we have the new sauna and hot tub we may offer passes/ available hours there as well.)
11) There is no lifeguard on duty. You are responsible for your own safety.
THE LAUNDRY ROOM
Facilities for washing your clothes are available at the east side of Bodhi, and at the lower dorms. Change for the machines is available at the Welcome Center. Laundry may be closed during the driest season but there are 2 Laundromats available in town.
Our Laundry agreements are as follows:
1) Please use only biodegradable products (if it doesn’t say biodegradable, then it is not).
2) Please be mindful of your laundry—keep it moving, and take all items with you when you are finished, or they will end up in the Lost and Found! Please do not store your laundry here (clean or dirty).
3) There will be times when the washing machines will not be available due to water shortages or power shortages, or House Healing usage. A sign will be posted in front of the door when necessary. Not respecting this restriction may cause serious problems.
4) If you take other’s clothes down off of the line or out of the dryer, please make sure they are thoroughly dry. Folding someone else’s laundry is good karma!
5) Do a good deed: Sweep the room or wipe off the surfaces occasionally. There is a broom left in the laundry room for this purpose. Let’s all help keep our communal spaces clean.
Our historic lodge was built in 1955. This is the central gathering space for our community. All of our meals are offered from the lodge kitchen in the lodge dining room and deck. The upstairs houses offices (currently the kitchen and House Healing T.L.’s) and the library. No computers are to be used during meal times. There is no storage space available for personal belongings in the Lodge due to fire hazard, other than the coat and bag hooks that can be used per meal. The library is for everyone’s use, if you wish to donate any books please give to a House Healer so they can tag them first. The back corner of the lodge has a place to store musical instruments, which are welcome for playing after meals and no later than 10 pm (please respect any privately owned/ labeled instruments).
THE HEARTWOOD KITCHEN
The Heartwood kitchen is the great heartbeat of our community. Please be respectful of our lovely and hard-working kitchen workers at all times. They are constantly working very hard to meet everyone’s needs. The kitchen is for kitchen workers ONLY, please NEVER enter the kitchen. Any snacks or specialty items you may need for the day should be picked up during breakfast (fruit, soy milk), please do not stand in the kitchen door and make requests/ demands, thank you’s are accepted, though!! If you have any comments, there is a kitchen comment box near the lodge instruments. Questions and concerns are addressed frequently and answers are posted on the kitchen bulletin board.
The Heartwood gardens are intended to provide food for our Heartwood kitchen while teaching us all the full cycle of our relationship with the land and our food. The main food garden is known as the Upper Garden; there is also a Lower Garden and an orchard below the Lodge area. Coming soon will be a medicinal herb garden near the Log Cabin, culinary herbs near the Lodge and Sauna area, and possibly some community plots.
You are welcome at the gardens anytime, just please leave the gate how you found it—closed!! (Our organic methods and lovely creations are very enticing to the surrounding wildlife!).
The intention of The Temple is to support and contribute to the original intention of Heartwood as being a center for planetary healing. It is dedicated to those seeking a sacred space and truly represents the soul of our community. The temple is non- denominational and so honors all paths to the divine. The community fundamentally benefits from knowing that a space for cultivating stillness and honoring the divine is always available.
This beautiful straw bale octagon structure was built in 1994 thanks to Scott Roth and is one of the first permitted straw bale buildings in the state of California! Silence has priority here, and is the perfect place for meditation or personal quiet time. The Temple is also completely appropriate for other sacred moments: spiritual group retreats, dharma talks, and other group practices including meditation class and devotional practices (Bhajans, Satsangs, and Worship Services). We also find it the perfect welcoming place for Circles of Transition (Welcome Circles, graduations, weddings, memorial services), visionings, acoustic concerts in line with the purpose of the temple (music of an uplifting nature focused on wakefulness, healing, and growth), and Sacred Rituals.
Unacceptable uses of the temple include chatting, sleeping (absolutely no overnight camping!), napping, eating and drinking (please to prevent ants, mice, and water damage), practicing bodywork, processing, practicing music, dancing, and movement practices (this is not a movement arts studio–there are many other indoor and outdoor spaces on campus. We definitely will have to co-create the sonic and movement temple someday soon!). Shoes must be removed before entering. Holding these agreements allows us to have sanctuary and sacred space when we need it. Thanks!
Every morning until 9:00 a.m. is reserved strictly for silent meditation (With community agreement chanting allowed from 8:30-9:00?). After that, additional welcome uses include contemplative reading, a place to chill-out, just being quiet, and silent prayer. It is NOT meant for movement yoga’s, so if someone enters to sit, you must end your practice at that time. In general please respect each other’s needs and requests, always considering the best win-win for all to enjoy this amazing space.
Also known as our Welcome Center, this is the face of and reception to our community and is an easy-going gathering space that is open to the public as a place to shop, eat or snack, and/ or hang out. Goodies, books, office supplies, clothing articles, phone cards, to name a few. Hours are posted on the store door. Occasionally we can place special orders from our distributors at discounted prices, see store person for catalogues.
There is a phone for your use in the lodge. Please limit you calls to 10 minutes during meals and take care to leave messages for others as needed. These are for local calls or you may use your phone card at no charge.
It is a federal offense to touch anyone else’s mail.
Mail is picked up and delivered 3 times per week. Please put outgoing mail in the outgoing box by 1:00 p.m. on Mondays, Wednesdays, and Fridays. Mail is delivered on M, W, and F by 5:00 p.m. and is available for pick-up 24 hours a day. Heartwood is unable to forward your mail once you leave campus.
The printers are for authorized personnel only. To have copies made for a fee, please see the Welcome Center.
Please immediately leave a written, signed and dated maintenance request in maintenance mailbox. If you make changes without permission, you may have to undo all of your work.
These guidelines not only help us as a community, but allow you to learn the necessary skills to start impacting the community at large and helping the planet once you leave Heartwood.
Please use electricity, gas, and water sparingly:
1) Turn off lights when not in use.
2) Turn off computers and stereos when you leave your room.
3) Turn off (at least way down) heaters when you leave your room.
4) Please limit your usage on appliances that have heating elements, such as hair dryers, irons, coffee pots, and similar items.
5) Take shorter showers and use the stop water button when soaping up.
6) Turn off the water while you brush your teeth or shave.
7) Turn off all faucets completely. (Please report ANY leaks to maintenance)
LOCKED DOORS AND GATES
For safety, security, and other good reasons we keep some doors at Heartwood locked. These include but are not limited to:
1. The Store is locked to protect our store inventory. Only appropriate staff has access to the keys to this section.
2. The Maintenance Shed, used for storage and as a shop is usually locked. Contact Maintenance if you need access for any reason.
3. The Kitchen is locked after 9:00 p.m.
4. The offices of Enrollment, Education, and Business are locked when not in use to protect files and equipment.
5. Lower Dorm Road Gate: This will be locked from Monday mornings through Thursday mornings and when deemed necessary by security.
TRAFFIC and PARKING LOTS
HWI strives to reduce driving and parking on campus, so personal vehicles are not to be parked in any other place on our property. All vehicles must be registered through the welcome center and receive a permit. Staff, resident faculty, and students must park their cars in one of the upper parking lots since there is no parking at the dorms or near classrooms (including Strawbale, Lower Dorms, and Bodhi) during the summer months.
The roads to and from HWI require a different set of skills than city or highway driving. Vehicles MUST be in good working order, ESPECIALLY BRAKES. If you are riding, make certain that the driver is sober and knows how to drive these roads. Serious accidents have occurred and can be prevented. Always drive slowly, courteously, and carefully.
Observe the following guidelines:
1) Always stay on your side of the road! Many sections of the road are more like a single lane, and there are many large country trucks coming your way.
2) Know how to brake appropriately (before the curve not during it) and know how to use your lower gears for descent to avoid overheating brakes!
3) Always let cars pass from behind. Pull over to a safe shoulder on your side of the road (NOT on a blind curve!). Wait until the dust settles to drive again.
4) Be prepared to stop at any time. There are tons of deer that will be close or on the roads on your drive; deer, rabbits, and other wildlife often fun in front of vehicles.
5) Uphill traffic has the right of way.
6) Loose gravel requires slower speeds.
7) Spring and fall seasons bring dense fog. Avoid driving on foggy nights!
8) After a rain, the shoulders will be softer, so only pull over at prepared turnouts.
9) Snow happens occasionally, and only 4WD or chains is recommended. Beware of shadowed areas that may hide dangerous black ice in frozen weather.
10) If you are tired, intoxicated or uneasy about driving at night, stay in town and drive up the next morning.
In our effort to live in environmentally appropriate ways with our Holistic World Practice, we ask you to recycle everything you can. Each recycling site, found at every dorm room, each office, and in the lodge has specific directions as to where and how to deposit your recycled goods. We can accept glass, plastic, cardboard, magazines, and paper at these recycling sites. Dead batteries can be placed in the “batteries” box in the
Mailroom; our Maintenance staff takes this box to the Redway Transfer Station monthly. Please correctly clean and prepare your recyclables before bringing them to the recycling centers (rinse each container and no lids attached). At the recycling areas, sort your items into the correct bins. Do not leave any garbage or types of recyclables that we are not handling, as this makes a mess for someone else. Please put in extra effort to make this system work. Neatness counts!
V.I.F.’s/ Very Important Friend or Family
The personal guest agreement exists so that you have the opportunity to invite a Very Important Friend or a Family member (V.I.F.) into our community while you are living, working, and/ or studying at Heartwood. They are someone whose presence you plan for out of respect to the community. Your V.I.F. is your responsibility and must comply with all Community Agreements, and must be registered prior to arrival.
WHO IS NOT YOUR PERSONAL GUEST/ V.I.F.?
Anyone just “dropping-in,” someone who you recently met and want to get to know better, someone who formerly lived or studied at HWI and wants to return for old times sake, someone who is visiting someone else and wants to stay longer, someone who has just completed an interview, someone whose staff position has just ended, someone who wants to hang out and doesn’t want to pay, etc.
People get to be at Heartwood either by working very hard, or by paying fees like the students and retreaters, so having a personal guest is a privilege. Most visitors to Heartwood do not qualify as your personal guests/ V.I.F.’s.–they are HWI customers, and they get to pay. Someone that you like might even have to pay to be here or eat here. That’s OK because that’s how HWI is a successful business and allows us all to be here!
Of course, anyone who is willing to pay the guest room and/or meal fees can come almost anytime and stay in guest housing and eat and use the facilities as long as there is space available; this is also how you can have guests stay even longer or have more visitors at one time. It’s great when nice people in the neighborhood come for a meal or movement class and pay for it, or come to the pool after buying a pool pass. Neighbors do NOT get passes for the sauna, hot tub, showers, or computer usage at this point, please let’s work together to enforce this! Meal card plans will even be available for those who join us more frequently. Let’s give everyone the opportunity to allow HWI to prosper because HWI is a great place.
Having strange faces wandering about on our property can be difficult when we’re all looking for some peace and quiet and personal space. The following is a summary of the guidelines about having personal guests stay with you in the community:
1) All guests must register at the Welcome Center before spending time on Heartwood campus. 2) Community members must register their guests prior to their HWI arrival at the Welcome Center. These arrangements allow the community to prepare so that their presence is not a problem or energy drain for anyone else.
3) Please respect the community by limiting your invitations to close friends and family.
4) V.I.F.’s must follow all of our guidelines, including parking, smoking, no dogs, etc.
5) You are responsible for giving your personal guest a thorough orientation of our Agreements, as their non-compliance will be reason for immediate dismissal of them and even possibly you, depending on the seriousness of their action(s). Please ask them to bring their own towels, toiletries, etc.
6) It is important that community members orient their V.I.F. to the proper use of the community facilities and have a conscious awareness of guests’ whereabouts at all times, especially for their use of the Hot Tub and Sauna, the Pool, the Library, the Laundry Room, and the Community Kitchen.
7) Please take the time to introduce your guests to as many people in the community as you can, since you and your guest are sharing facilities with other community members. It may be impossible to introduce them to every single person, but try to let others know who these strange faces are. Please inform your guests of the importance of helping community members feel safe through introducing ones self while sharing community facilities.
8) If you have any problems with someone else’s V.I.F., please take the responsibility of talking to that community member about the problem. Also, if you’re not sure whether someone belongs on campus, ask them whose V.I.F. they are.
9) You are expected to be on property while your guest is visiting. The purpose of this privilege is to make it possible for your friends and family to visit you.
